Creating memorable events without blowing the budget
What if your budget constraint were actually your best creative ally? At XXL Happyness, we see it every day: a memorable event isn’t the one people talk about for ten years because of what it cost — it’s the one they remember for what it made them feel.
This guide draws directly on our 2026 OM Workshops, presented at the Office Managers Summit Club. It is written for everyone who organises corporate events with real budgets, real constraints, and the conviction that the experience matters more than the spend.

1. The Manifesto: meaning, not spectacle
Before we talk euros, let’s talk intention. Most organisers’ first mistake is to start with the budget. The right method starts with a radically different question: what is the purpose of this event?
📌 The XXL Happyness Manifesto
Deliver
Put people and the employee experience back at the heart of decisions, without relying on an unlimited budget.
💡 Take the drama out of the budget
Constraint breeds creativity. A tight budget forces you back to the essentials.
🎯 ‘Why’ before ‘How much’
Define the objectives, the audience and the purpose before organising anything.
❤️ Memorability = Engagement & Emotion
The keys to lasting memorability: human connection, consistency, details.
👥 Activate internal resources
Your employees’ talents are your most under-used resource.
Ask yourself these three questions before opening your budget spreadsheet:
- What KPIs do you use to define a ‘successful’ event?
- What does a fulfilled employee look like to you?
- What is the purpose of the event?
These answers will guide every budget decision that follows.
2. Myths & realities: busting preconceptions
Some widely held beliefs among event organisers are not only wrong, but costly. Here are the three most damaging myths — and the reality that answers them.
What we think we have to do
- You need an XXL budget
Believing that money buys atmosphere and buy-in. - It has to be spectacular
. Aim for an artificial ‘wow’ effect rather than a genuine one. - Impress everyone
Trying to please everybody with no clear audience or purpose.
What really counts
- A clear intention
Why hold this event? The answer guides everything else. - Cultural consistency
The event must reflect the company’s real values and the teams’ expectations. - Moments of human connection
Attention to detail and genuine moments create lasting memorability.
A real-life failure
€100,000 invested, 40% attendance
A CEO invests heavily in festival VIP boxes for the entire workforce. Budget: €100,000. Result: only 40% of employees turn up. Despite the massive investment, buy-in falls short.
💡 Lesson: the ‘needs’ perceived by management are not the teams’ actual expectations. Consulting staff before making a decision is non-negotiable.
3. Strategy: meaningful engagement throughout the year rather than a fleeting ‘one-off’
One of the costliest mistakes in corporate events is to pour the entire budget into one big annual event. The question to ask your employees is simple:
💬 A question to ask your teams
“Would you rather have one big event, or several small gestures throughout the year?”
The answer may surprise you — and transform your approach to budgeting.
The aim is to spread the budget for a lasting, regular emotional impact. Here are the three levels of this year-round strategy:
- 🎉 Thoughtful onboarding & offboarding
Create a memorable arrival experience from day one to engage new employees immediately. A well-designed offboarding strengthens your employer brand and creates ambassadors. No spectacular budget required — maximum intention and care. - 📅 Calendar moments: make the most of key dates
Chandeleur crêpe day, raclette party, wellbeing week, QWL month… These cultural and seasonal fixtures are natural opportunities to build connection without major investment. A light but regular event builds more loyalty than an annual gala. - 🌱 Simple initiatives with high emotional impact
Weekly fruit baskets, in-house fitness classes, group subscriptions, just-for-fun training: everyday gestures that strengthen belonging without dipping into a special budget. Budget isn’t the problem — regularity and intention are what make the difference.
4. Put people at the centre: your employees are your best resource
The most powerful — and most under-used — lever for creating memorable events at low cost sits within your own teams. Showcasing internal talent creates connection, pride and memorability.
🎤 Inspiring talks
TEDx-style formats led by employees themselves. Sharing passions, professional expertise, life stories.
→ Near-zero cost, maximum emotional impact
🎸 Artistic talents
Forming in-house bands. Live music at corporate parties played by your own employees.
→ E.g. the ASOBO band at XXL Happyness
🔨 Co-creation
DIY workshops and hands-on collaborative projects that engage teams in creating together rather than consuming passively.
→ E.g. the collective planter at ManoMano
🏆 Creative Olympics
Playful challenges with creative constraints (costumes made from recycled materials, low-resource challenges). Boldness beats budget.
→ Constraint = the engine of creativity
Engagement + Pride + Memorability =
5. Real-life cases: how our clients shone with less
Michelin: the car park as a Family Day stage
For the 60th anniversary of its Bassens site, Michelin didn’t hire a luxurious exhibition hall. The company turned its own car park into a memorable funfair for employees and their families. Result: an event rooted in the site’s history, experienced as authentic, and far cheaper than an external hire.
💡 The “One place = Your home!” principle
Before looking for an external venue, ask yourself: could your head office, your car park, your courtyard, your warehouse become the backdrop for your next event? Anchoring the event in your identity strengthens the sense of belonging.
Voodoo: a seminar in Capbreton for €30 to €40 per person
Scale-up Voodoo organised a 3-day seminar in Capbreton with XXL Happyness, built around outdoor activities run by professionals: Koh-Lanta-style beach challenges, boot camp, digital detox. Activity budget: just €30 to €40 per person. The impact on team cohesion couldn’t have been greater — because the experience was physical, authentic and fully unplugged.
ManoMano: the planter as a symbol of culture
Rather than an expensive outsourced team-building session, ManoMano had its teams build collective planters — directly in line with its DNA as a DIY marketplace. A DIY workshop that reinforces brand identity while creating a tangible, visible memory in the office.
6. Optimising the budget: doing better with less
Smart sources of value
🤝
Co-branding
Inter-company events to share costs and widen your network.
E.g. Decathlon
🎁
Partners
Call on the local ecosystem for prizes or activities in exchange for visibility.
E.g. Betclic
🔄
Swaps
Service bartering: visibility or access to your premises in exchange for goodies or activities.
Resourcefulness
🌱
Charitable sponsorship
Charitable initiatives that engage teams while strengthening your CSR brand.
Beach clean-ups
Enlightened frugality: cut costs without hurting the experience
🍹 Drink tokens vs open bar
3 tokens per person at €60/person = €6,000 for 100 pax. An open bar can exceed €8,000 with no control. The effect on the atmosphere is identical.
🛏️ Twin rooms vs singles
Twin rooms foster team cohesion as well as costing less. A win-win on budget and human connection.
🚌 Coach vs individual train tickets
A chartered coach for 100 pax ≈ €4,000. Individual train tickets can reach €20,000 for the same distance. The shared journey is also a moment of cohesion.
🥗 Vegetarian & zero-waste menu
A 100% vegetarian or flexitarian menu costs 20 to 35% less. Donating surplus food to Restos du Cœur: savings + CSR impact.
🏠 Turnkey venue + free time
A private-hire estate with on-site activities eliminates inter-site transport costs and turns free time into a natural source of activity.
📦 Hire vs buy
Event furniture, staging, technical equipment: hiring costs 3 to 5 times less than buying for one-off use. Favour local partners.
🇫🇷 France > Abroad
A seminar in Charente-Dordogne, the Basque Country or Lozère offers a total change of scenery, an exceptional natural setting and a controlled logistics budget vs an international destination.
🤲 Semi-private vs fully private hire
Many estates offer semi-private hire, which preserves the atmosphere without the cost of full exclusivity. Potential savings: €5,000 to €15,000 depending on the venue.
7. The numbers compared: from €72,000 to €26,250 for 100 participants
Here is the most telling demonstration of our approach. For a residential seminar of 100 participants, here is how three scenarios compare:
Budget comparison · Based on 100 participants
Same event, same objective, same quality of experience — three very different approaches.

📉 Budget ÷ 3 after agency negotiation
*rate negotiated through the XXL Happyness partner network
The numbers speak for themselves: the agency fee (5%) is absorbed by the negotiated savings. You pay less going through XXL Happyness than organising alone on the initial budget.
8. The tangible budget benefits of using an agency
- Precious time saved
The agency analyses and compares several offers to get the best value for money. This sourcing work typically represents 3 to 5 person-days — days your teams can spend on something else. - Simplified invoicing
One invoice, one point of contact, streamlined admin. No more dozens of quotes, follow-ups and accounting reconciliations. - Greater negotiating power
Thanks to its client volume and experience, the agency negotiates better prices and optimised terms you would never obtain directly as a one-off buyer. - Network of preferred partners
Regular partners give access to exclusive preferential rates, priority availability and optimised service terms — out of reach without this network.
9. Case study: La Demeure, a charming estate in Charente-Dordogne
To illustrate what a well-chosen turnkey venue can deliver in practice, here is a real example shared at our 2026 OM Workshops:
📍 Private-hire seminar venue
La Demeure Domaine de Charme
Charente / Dordogne · Golf & Pools
€500 excl. VAT / person
2 days / 1 night · All inclusive
What’s included
- 34 renovated stone cottages
- ~80 single rooms
- ~10 twin rooms
- Meeting room for 100
- Video projector
- Sound system
- Air conditioning
- 9-hole golf course
- Heated pools
- Pétanque, Molkky
- Table tennis, volleyball
Logistics from Paris
Train to Bordeaux (2h00) + coach (1h30) — a simple, economical transfer. Everything is on site, no inter-site transport during the seminar.
This kind of all-in-one private-hire estate eliminates the usual hidden costs: no extra transport between the meeting venue and the accommodation, activities are on site, and semi-private hire can often be negotiated at no extra charge.
10. The method in brief: your checklist for an event under control
- Start with meaning, not budget. Define your objectives, KPIs and audience before opening a spreadsheet.
- Ask your employees. Their real expectations may surprise you — and save you spending where it doesn’t count.
- Spread your budget out over the year rather than concentrating it all on a single, costly and short-lived ‘one-off’.
- Activate internal resources. Talks, artistic talents, co-creation: your employees are your best entertainment asset.
- Choose a turnkey venue that includes accommodation, catering and activities to eliminate inter-site logistics costs.
- Apply enlightened frugality: drink tokens, twin rooms, coach travel, vegetarian menu, local partners.
- Activate external sources of value: co-branding, partnerships, swaps, charitable sponsorship.
- Call on an agency whose negotiated savings absorb its fees and save you time.
✨ The XXL Happyness conviction
